Interactive calculator: https://calculators.geekmidst.com/calculators/fleet-maintenance-reserve-calculator

A maintenance reserve spreads lumpy costs such as tyres and overhauls over the kilometres that wear them out. Add the routine cost per km, plus a contingency, and multiply by the distance the fleet runs.

Also called: Fleet maintenance budget calculator.

## Inputs
- Vehicles (default 10)
- Distance per vehicle per year (unit km; default 100000)
- Routine maintenance per km (default 0.05)
- Cost of a full tyre set (default 3000)
- Tyre set life (unit km; default 150000)
- Major repair or overhaul cost (default 12000)
- Major repair interval (unit km; default 400000)
- Contingency (optional) (unit %; default 10; optional)
- Currency

## Results
- Monthly reserve for the fleet
- Annual reserve
- Per vehicle per month
- Reserve per km

## Formula

```
Per km = (Routine + Tyre set ÷ Tyre life + Major cost ÷ Interval) × (1 + Contingency% ÷ 100);  Annual = Per km × km per vehicle × Vehicles;  Monthly = Annual ÷ 12
```

Where:
- Routine: servicing, oil, filters and small repairs per km
- Tyre life: km a full set lasts
- Interval: km between major repairs

## Worked example
1. Per km = 0.05 + 3,000 ÷ 150,000 + 12,000 ÷ 400,000 = 0.05 + 0.02 + 0.03 = 0.10.
2. With 10% contingency: 0.11 per km.
3. Annual = 0.11 × 100,000 km × 10 vehicles = 110,000; monthly = 9,166.67.

**Result:** Set aside about 9,166.67 a month (0.11 per km) to cover the fleet’s maintenance, tyres and major repairs.

## What the result means

Compare the reserve with what you actually spend each year and adjust the per-km figures. Older vehicles usually need a higher routine cost per km than new ones.

## Assumptions and limits
- Costs scale with distance and stay at today’s prices.
- All vehicles run a similar distance and have similar costs.
- Inflation, accident damage and warranty cover are not modelled; use the contingency for them.

## Questions

### Why spread tyres and overhauls per km?

They wear with use. Charging them per km builds the money up before the bill arrives instead of hitting one month.

### What contingency should I use?

It depends on fleet age and your history; compare past budgets with actual spend to choose one.
